When a mid-sized company starts looking beyond entry-level systems, Odoo and SAP Business One are two of the names that come up most often. They are aimed at similar businesses but they come from very different philosophies, and that shapes almost everything about choosing between them.
Two different philosophies
SAP Business One is a structured, mature system built by the world's largest ERP vendor for its small and mid-market customers. It is opinionated about how things should work, deep in finance and manufacturing, and delivered almost entirely through certified partners.
Odoo is an open-source, modular platform. It gives you a very broad set of applications, a modern browser interface, and the freedom to adapt almost anything. It is delivered by partners too, but the barrier to starting, changing or even self-serving is much lower.
Where SAP Business One is stronger
- Finance depth. Multi-currency, intercompany, cost accounting and consolidated reporting are very mature.
- Manufacturing and MRP in complex environments with detailed costing.
- Group standardisation. If your parent company runs SAP, B1 in a subsidiary makes reporting simpler.
- Predictability. Fewer ways to do things means fewer decisions during implementation.
Where Odoo is stronger
- Breadth. CRM, website, eCommerce, helpdesk, marketing, HR, timesheets and more are native apps, not third-party add-ons.
- User experience. Odoo's interface is modern and staff pick it up quickly. This matters more than it sounds: adoption is where ERP projects succeed or fail.
- Flexibility. Custom fields, workflows and reports are quick to build, and fully custom modules are possible because the code is open.
- Cost. Licences are per user per month with no large upfront fee, and implementation is usually faster.
- Speed to start. A first phase can be live in weeks. See how long an ERP implementation takes.
Cost
SAP B1 typically involves per-user licences (perpetual or subscription), plus partner implementation, plus annual maintenance. Odoo Enterprise is subscription per user, with implementation on top. In our experience, for a comparable scope, Odoo's total cost over three to five years is usually lower, and the gap widens when customisation is involved. Our Odoo cost guide explains the layers.
Implementation experience
SAP B1 projects are usually longer and more formal, which suits businesses that want a fixed methodology and are prepared to adapt their processes to the software. Odoo projects are typically iterative: a working system early, then refinement in sprints. Both approaches work; they suit different cultures. Our guide to ERP implementation steps describes the iterative approach.
Which should you choose?
Choose SAP Business One if you have complex multi-entity finance requirements, heavy discrete manufacturing with detailed costing, a group standard on SAP, or a strong preference for a highly structured system.
Choose Odoo if you want one system covering sales, operations, finance and the web, you expect to adapt it to your way of working, you value speed and ease of use, and total cost matters.
For most independent UK businesses in the 20 to 250 staff range, we find Odoo the better fit, which is why we specialise in it. But we will say so if your requirements point the other way. A free discovery call is the fastest way to find out. Request a quote.
Key takeaways
- Both are credible ERP choices for companies with roughly 20 to 250 staff.
- SAP Business One is a mature, structured system with strong finance and manufacturing depth. Odoo is more flexible, more modern to use and usually cheaper to licence and adapt.
- SAP projects tend to need specialist partners and longer timelines. Odoo projects are typically faster to start and easier to change.
- Choose SAP B1 if you need its specific depth or your group already runs SAP. Choose Odoo if you want breadth, flexibility and a lower total cost.
